The 5th Annual General Meeting of Pax Earth Nepal (PEN) successfully held at Chhimeki Restaurant, Chabahil, Kathmandu between 4:30pm and 6:30pm on Friday April 18, 2014. The meeting was chaired and called to order by President Sujan Koirala. Hon. Member Nilambar Badal was the special guest. Including PEN members, guests and well-wishers, 31 persons attended the meeting. The meeting was divided into opening ceremony and closed session. The opening ceremony was formally inaugurated with lighting of an oil lamp by the special guest Badal.

Treasurer Bal Gopal Shrestha presented Financial Reports including the Audit Report of FY 2012/13 at the meeting. He also presented the proposed budget for FY 2013/14.

Secretary Binod P. Mainali presented the Annual Report 2012/13 at the meeting. He highlighted the major achievements in the FY 2012/13 as follows.

  • Contributed in educating about 130 poor and underprivileged children of Shree Raktakali Primary School and Shree Kalika Primary School located in Kanpur VDC of Kavrepalanchok district of Nepal by offering educational materials. Nine teachers and one staff of these two schools also benefited with the educational support program.
  • Contributed in improving the sanitation and personal hygiene of the students of these two schools by conducting environmental workshops and offering hygienic materials.
  • Extended hands in making the environment cleaner and greener by organising a tree plantation program at the ground of both the schools.
  • Contributed in developing physical potential of the students of these two schools by providing sports materials.
  • More than thirty three youths were empowered from the PEN Toastmasters programs.
  • Continued the highly valued cultural exchange program “PEN meets PEJ” in FY 2012/13 too. Representing PEN, Secretary Binod P. Mainali and Member Sudan P. Bhandari attended Japan visit program in 2012.
  • The culture of welcoming and managing the visit of Japanese friends continued in FY 2012/13 too.

Anita Subedi and Debraj Ghimire respectively shared their experience as a member of Pax Earth. Member Subedi thanked Pax Earth for giving her an opportunity for becoming a member and providing a platform for serving poor and underprivileged children. She said that it gives her an eternal happiness to see smiles in the face of innocent children while distributing educational or hygienic materials to them. All the worries and pains go away after seeing their smiling faces. She is hopeful that Pax Earth will provide her more learning opportunities by involving in personality development activities and social services in the days ahead.
6_Address by Member Anita Subedi

Member Debraj Ghimire expressed his happiness to be associated with Pax Earth. He heartily thanked Pax Earth for inculcating spirit of service in him. He highly valued the Pax Earth’s educational and environmental activities in Kavrepalanchok. He is grateful to Pax Earth for involving him in several learning opportunities including leadership development activities, Toastmasters, and language courses. He was so inspired that he even gave up his gum chewing habit just to raise fund for Pax Earth. He handed a sum of Rs. 1825 to Treasurer Shrestha saved in a year giving up this habit. He wished Pax Earth to provide more serving and learning opportunities in future.

Special Guest Badal in his special address congratulated PEN for successfully laying a strong foundation in last five years. He said that the Pax Earth has already crossed the threshold and it is a high time for all members to step forward in bringing new plans and programs for the organisation instead of depending solely on President and Board Members. He encouraged members to bring new ideas and implement them by giving more time for the organisation. He insisted all members to serve by pure thought, word and deed. After his inspiring address, the opening ceremony ended.
9_Address by Special Guest Nilambar Badal

The members assembled for the closed session after five minutes break. In this session, the floor discussed on key agendas and took the decisions accordingly. The agendas and the decisions are presented below.

Agenda No. 1: Approving Annual Report of FY 2012/13
Decision: The floor unanimously approved the Financial Reports including Audit Report of FY 2012/13 presented by Treasurer Bal Gopal Shrestha. The floor also approved the proposed budget for FY 2013/14.

Agenda No. 2: Approving Financial Reports including Audit Report of FY 2012/13
Decision: The floor unanimously approved the PEN Annual Report 2012/13 presented on behalf of the executive committee by Secretary Binod P. Mainali.

Agenda No. 3: Appointing Auditor for FY 2070/71 and determining his salary
Decision: The floor made a unanimous decision to give the authority of appointing auditor and determining his remuneration to the Executive Committee.

Agenda No. 4: Special agendas
a) Amendment of Pax Earth Constitution 2008: (i) Amending Clause No. 13.3 and (ii) Removing Clause No. 19.1 ‘Ga’ and 19.1.’Chha’
Decision: The floor made a unanimous decision to amend the Clause No. 13.3 “The tenure of the Executive Committee will be 2 years” into “The tenure of the Executive Committee will be 4 years”. The floor also made a unanimous decision to remove Clause No. 19.1.’Ga’ and 19.1.’Chha’.

b) Approving “Pax Earth Membership Regulation 2014”
Decision: After comprehensive and meaningful discussion, the floor unanimously approved “Pax Earth Membership Regulation 2014” presented by President Sujan Koirala.

c) Reforming Executive Committee for ensuring 33% female inclusion
Decision: The floor, after necessary discussion, unanimously seconded a decision (of Executive Committee) to reform the current Executive Committee for ensuring 33% female inclusion. President Sujan Koirala, after necessary consultation and followed agreement with the Executive Committee officials in accordance with the Clause No. 13.2 of Pax Earth Constitution 2008, made a decision to appoint Guna Raj Pyakurel as Vice President, Anita Subedi as Joint Secretary and Jamuna Siwakoti as Joint Treasurer. The reformed Executive Committee consists of the following:

  2. Vice President – Mr. Guna Raj Pyakurel
  3. Secretary – Mr. Binod P. Mainali
  4. Treasurer – Mr. Bal Gopal Shrestha

Agenda No. 5: Assigning representatives for endorsing the decisions
Decision: The floor made a unanimous decision to assign Members Kapil Deuja and Anita Subedi for endorsing the decisions made in the 5th AGM.

President Koirala delivered a special address and also extended a vote of thanks at the end. In a special address, he explained the need for shifting the focus of the organisation from education system support to more long-term impact generating activities in Kavrepalanchok. His intention was clear that Pax Earth will shift its focus from education support to environmental support and water project now onward. He sought cooperation from all members, sponsors and well-wishers toward this endeavours. He congratulated the members of newly reformed executive committee and expected a greater cooperation and contribution in the days ahead.

He expressed a sincere gratitude to Special Guest and Hon. Member Nilambar Badal for accepting a request of becoming special guest of the program despite his busy schedule. He humbly thanked Hon. Member Badal for his support and advice particularly in conducting Toastmasters, English language classes and leadership development programs. He heartily thanked Secretary Binod P. Mainali and Treasurer Bal Gopal Shrestha for their invaluable support, cooperation and contribution in crafting and implementing plans and programs of the organisation and moreover in bringing the organisation to this admirable state. He also appreciated the role played by Executive Committee Members: Laxman B. Pahari and Kamala Basnet. He was equally indebted to Executive Committee officials: Guna Raj Pyakurel, Harihar Sapkota, Shreebatsa Basnyat and Dipendra Dangol. He also thanked all the members and well-wishers who directly and/or indirectly contributed in successfully carrying out the mission of the organisation for the past five years.
10_Special Address and vote of thanks by President Sujan Koirala

President Koirala heartily thanked Dr. Soko Aoki, President of PEJ, for his kind cooperation particularly in raising fund and increasing cooperation and exchanges between PEJ and PEN. He was equally indebted to respected Masaya Arao, Advisor of PEJ, for his support and care. He was also thankful to the members of PEJ and Pax IV Hyper for their support and cooperation. He praised the role played by Saroj Ghimire, Pax Earth Representative for Australia in raising fund. He sincerely thanked teachers and students of Shree Raktakali Primary School, Shree Kalika Primary School and recently added Shree Seti Devi Primary School for their kind cooperation.

President Koirala expressed a sincere gratitude to the guest, well-wishers and members for their active participation in making the 5th AGM a success. He congratulated Coordinator Binod P. Mainali and Members of AGM organising committee and MC Guna Raj Pyakurel for successfully coordinating the meeting. After the vote of thanks, President Koirala formally adjourned the closed session and the 5th AGM. Dinner was served after the closed session.
